# Shipping slips management

> Box store
>
> This page applies to box stores hosted by Ciklik. Using the PrestaShop module? [See the PrestaShop documentation](https://www.ciklik.academy/en/prestashop/).

Key points

In a Ciklik box store, every subscription order generates a shipping slip with two dates: the **creation date**, when the order was placed, and the **scheduling date**, which you use to select the slips of each shipment. With a billing start date set to 1, the scheduling date falls on the 1st of the month according to the subscription cycle; a renewal or a resumption with payment is scheduled for the day after the transaction. Every evening at 11:57 pm, the site’s administrators receive by e-mail the file of the slips scheduled for the next day. From **Sales > Shipments > Shipping Slips**, you filter slips, change their status, move their date without changing the payment dates, and export them for your logistics.

## Creation and scheduling dates

Regarding shipping slips:

- the **creation date** is the date when the order was placed;

- the **scheduling date** is automatically set to the 1st of the month ([billing start date](https://www.ciklik.academy/en/abonnements/creer-une-formule/) set to 1), based on the subscription cycle, according to the date in the month when the order was placed. EXCEPT when a transaction occurs outside the subscription cycle, for example if the person resumes their subscription, or if the subscription is renewed: in that case, the **shipping slip scheduling date is set to the day after the transaction**.

When a subscription is renewed (with automatic renewal) or resumed with a payment, the shipping slip scheduling date is the next day. The shipping slip creation date is the day of the transaction.

Every evening at 11:57 pm, your site’s administrators receive by email the file of the shipping slips scheduled for the next day.

In the example of a monthly subscription, on the last evening of month m, you receive the file for all those who had already paid (3, 6, 12-month subscriptions, and subscriptions paid between the 11th and the 31st of month m). On the evening of the 1st of month m+1, you receive all those whose payment succeeded on the 1st.

The **first_box** column is empty for these renewal slips, even if the [First Box](https://www.ciklik.academy/en/expeditions/transporteurs/#first-box) option is enabled on the carrier: only the first slip of a subscription can be First Box.

If your plans are configured without fixed periods and without bulk shipping management, the shipping slip scheduling dates are set to the day after their creation date.

## Filter shipping slips

From **Sales > Shipments > Shipping Slips**, the **Type** filter displays only: Subscription, Addon, Shop & Gift Cards, E-shop (products), Gift Cards or Offer.

The **Plan** filter lets you select several subscription plans and view the corresponding shipping slips. The **Scheduled Before**, **Scheduled After**, **Created Before**, **Created After**, **Order Status**, **Transporteur** (carrier) and **Profils** (profiles) filters are also available; the last two are shown in French.

> Filter dates
>
> The date entered in **Scheduled After** (or **Created After**) is included. The date entered in **Scheduled Before** (or **Created Before**) is excluded.

## Change the status

A shipping slip has the Created status when it is created. To change it, select the slips, then run the **Update Status** action. The available statuses are:

- Created;
- Pending;
- Shipped;
- Delivered;
- Scheduled;
- Canceled.

These statuses are available in your shipping slip filters.

If you filter on a status to change the status of all selected slips at once, check afterwards that no slips with the initial status remain in the filter.

## Products and addons

If a shop product is purchased together with a subscription, it is added to the subscription’s shipping slip, with the same `ship_` number.

For a shop product ordered separately, a shipping slip is generated with a scheduling date set to the day after the order (so that you are notified by email).

## When a customer changes their subscription

Changes to the address, carrier, profile, pickup point and customization are applied to the subscription’s shipping slips scheduled since the 1st day of the month before last, including those whose date has passed and those already shipped.

> Caution
>
> A slip that has already been shipped can therefore change address afterwards. Export your slips before applying a change your customer asks for, if you need to keep track of the shipping address.

You can find your subscribers’ profile information in the shipping slips export file (`declinaisons` column).

## Create an extra shipping slip

The **Create Shipping Slip** action exists in two places: on a subscription, to send a box again, and on a customer’s page, for a free-form shipment.

### For a subscriber

1. Go to **Sales > Subscriptions > Subscriptions** and open the subscription.

2. Run the **Create Shipping Slip** action.

3. Fill in the fields:

   - **Delivery Address**: one of the customer’s addresses;
   - **Carrier**: an active carrier offered for subscriptions;
   - **Scheduled Delivery**: the slip’s date, required;
   - **Name**: optional, it replaces the item names on the slip.

4. Confirm.

The slip copies the items of the subscription’s last paid order, along with its pickup point and customization. No order or payment is created: the shipment is not charged to the customer.

### For a customer, outside a subscription

1. Go to **Sales > Customers > Users** and open the customer’s page.

2. Run the **Create Shipping Slip** action.

3. Fill in the fields:

   - **Description**: what you are sending, required;
   - **Delivery Address**;
   - **Carrier**: all your active carriers;
   - **Scheduled Delivery**: optional.

4. Confirm.

Ciklik creates a disabled product named after the description, a €0 order with the Paid status, then the shipping slip. Without a date, the slip is not scheduled: the **Scheduled Before** and **Scheduled After** filters do not find it.

## Move a slip’s date

1. Go to **Sales > Shipments > Shipping Slips** and open the slip.

2. Run the **Change Delivery Date** action.

3. Choose the **Interval**: Mois, Semaine or Jour (month, week or day; these options are shown in French).

4. Enter the **Number**: from -90 to 90. A negative number brings the date forward.

5. Check **Extend Next** to also shift the subscription’s following slips.

6. Confirm.

- The action only appears on a slip scheduled for today or later.
- With **Extend Next**, every slip of the subscription scheduled from this slip’s date onward is shifted by the same amount, whatever its status. This option does not work on a slip that is not linked to a subscription.
- Only the slip’s date changes. The subscription’s payment dates stay the same.
- Your customer is not notified. Let them know if needed.

## Export the slips of a shipment

Select the shipping slips with the filters, then run the **Export Shipping Slips** action and choose the **Export format**. The formats and their columns are described in [Export shipping slips](https://www.ciklik.academy/en/expeditions/exporter-les-bons-de-livraison/).

The examples below show how to choose the filter dates for a shipment.

### Monthly plan

Here is the most common example, where **shipments** are scheduled each month, for a monthly subscription with a billing period from the 1st to the 10th of the month.

To export the shipping slips for the January shipment, filter by scheduling date: **Scheduled After** December 11th and **Scheduled Before** January 11th (to include January 10th).

This includes:

- shipping slips scheduled for the 1st of the month;
- renewals and resumptions with payment made between the 11th and 31st of the previous month (scheduled for the day after the transaction);
- new subscribers who ordered between the 1st and 10th of the month.

You therefore select by shipping slip scheduling date, for the desired period, from the 11th of the previous month to the 10th of the current month.

To keep only the slips of orders placed between January 1st and 10th, add the **Created After** filter set to January 2nd.

### Bimonthly plan

Here is the example where **shipments** are scheduled in January, March, May…, for a subscription on a [bimonthly plan](https://www.ciklik.academy/en/abonnements/parametrer-vos-formules-d-abonnement/) with a billing period from the 1st to the 10th.

When ordering, shipping slips are scheduled for December 1st, February 1st, April 1st…

To ship the January boxes, new subscribers who signed up between November 11, 2020 and January 10, 2021 will receive the January box. Their scheduling date is the subscription start date, December 1st.

To export your January boxes, set the scheduling date filters to include new subscribers and those whose subscription cycle is ongoing: **Scheduled After** December 1st, 2020 (date included) and **Scheduled Before** January 1st, 2021 (date excluded). To include subscription resumptions between November 11, 2020 and December 1, 2020, enter November 11th in the **Scheduled After** filter.

To export only new subscribers between January 1st and 10th, set the **Created After** filter to January 2nd.

## Frequently asked questions

### Why is a shipping slip scheduled for the day after the order?

When a transaction occurs outside the subscription cycle, such as a renewal or a resumption with payment, Ciklik schedules the slip for the day after the transaction. The same applies to a shop product ordered separately, and to every order if your plans have neither fixed periods nor bulk shipping management.

### How do I send a box again to a subscriber without charging them?

Open the subscription in Sales > Subscriptions > Subscriptions and run the Create Shipping Slip action. The slip copies the items of the subscription’s last paid order, and no order or payment is created.

### Does moving a shipping slip’s date change the payment date?

No. The Change Delivery Date action only changes the slip’s date, by -90 to 90 months, weeks or days. The subscription’s payment dates stay the same, and your customer is not notified.

### Which filter dates should I use to export the month’s shipment?

For a monthly plan billed from the 1st to the 10th, filter by scheduling date: Scheduled After the 11th of the previous month and Scheduled Before the 11th of the current month. The Scheduled After date is included, the Scheduled Before date is excluded.

### Does a subscriber’s address change affect a slip already shipped?

Yes. Changes to the address, carrier, profile, pickup point and customization are applied to the subscription’s slips scheduled since the 1st day of the month before last, including those already shipped. Export your slips before applying the change if you need to keep track of the shipping address.
