Creation and Scheduling Dates for Delivery Notes

Regarding delivery notes:

  • the creation date is the date when the order was placed

  • the scheduling date is automatically set to the 1st of the month (billing start date setting at 1), based on the subscription cycle, according to the date in the month when the order was placed EXCEPT when a transaction occurs outside the subscription cycle, for example if the person resumes their subscription, or if the subscription is renewed, in which case the delivery note scheduling date is set to the day after the transaction

When a subscription is renewed (with automatic renewal) or when a subscription is resumed with payment, the delivery note scheduling date is set to the next day. The delivery note creation date is the day of the transaction.

In the example of a monthly subscription, this means that on the 1st of month m+1, you will receive by email the file for all those who had already paid (3, 6, 12-month subscriptions, and subscriptions paid between the 11th of month m and the 31st of month m) and on the 2nd of month m+1, you will receive all those whose payment was successfully processed on the 1st of month m+1.

The first_box column is indeed empty for this type of delivery note even if the feature had been enabled.

If your plans are configured without fixed periods and without bulk shipping management, the delivery note scheduling dates are set to the day after their creation date.

A filter on the right in delivery notes has been added to display only addons, only subscriptions, or gift cards.

A filter is also available to select multiple subscription plans and view the corresponding delivery notes.

A delivery note is assigned the Created status upon creation. You can change the status of delivery notes according to your delivery note management by selecting this action from the dropdown menu when you select your notes. Here are the available statuses:

created

pending

shipped

delivered

scheduled

cancelled

These statuses are available in your delivery notes filters.

When selecting a status in the filter and applying the action to modify it for all selected notes, make sure there are no more notes with the initial status remaining in the filter.

If a shop product is purchased at the same time as a subscription, it generates a delivery note with the same ship number as the subscription.

For a shop product ordered separately, a delivery note is generated with a scheduling date set to the day after the order (so that you are notified by email).

These modifications will be taken into account in the delivery notes, but please note, only for delivery notes scheduled in the future.

You can find your subscribers’ profile information by exporting your delivery notes, in the export file.

Here is the most common example, where shipments are scheduled each month, for a monthly subscription with a billing period from the 1st to the 10th of the month.

I want to export delivery notes for my January shipment, I will filter by delivery note scheduling dates, before January 10th and after December 11th.

Thus, the following are included:

delivery notes scheduled for the 1st of the month

renewals and subscription resumptions with payment made between the 11th and 31st of the previous month (with a scheduling date set to the day after the transaction)

new subscribers who placed orders between the 1st and 10th of the month

We therefore select based on the delivery note scheduling date, for the desired period, from the 11th of the previous month to the 10th of the current month.

If I only want the delivery notes for orders placed between the 1st and 10th of January, I add the creation date filter after January 2nd.

Here is the example where shipments are scheduled in January, March, May, etc., for a subscription on a bimonthly plan with a billing period from the 1st to the 10th in the plan settings.

At the time of order, delivery notes have scheduling dates on December 1st, February 1st, April 1st, etc.

Also, in the example where I want to ship the January boxes, new subscribers who signed up between 2020-11-11 and 2021-01-10 will receive the January box. They have a scheduling date at the subscription start date, which is December 1st.

Therefore, to export your January boxes, you need to set the filters for scheduling dates to include new subscribers and those whose subscription cycle is ongoing, and the desired period is after December 1st, 2020 and before January 1st, 2021 (these dates are included in the filter). To include subscription resumptions between November 11, 2020 and December 1, 2020, enter the date of November 11th in the scheduling date after filter.

If now you only want to export new subscribers between January 1st and 10th, you need to fill in the delivery note creation date field after January 2nd.
